Quotation requests
When you submit an online quotation request, we collect your name, optional company name, email, phone number, collection and delivery locations, addresses, cargo details, weight, requested truck count, industry, preferred date, service preference, optional budget and handling notes. We save the request and its provisional estimate in our private WordPress quotations inbox so authorised staff can review it and respond.
Submitting the form requests an email copy to the address you provide and a notification to our company team. The company email includes the enquiry details. Your email copy includes the selected town/area route, weight, preferred date, optional budget and provisional estimate. Please use your own email address and do not include payment details, passwords or identity documents. An estimate does not confirm a booking.
Hosting and security
Hostinger hosts this website. Our hosting account lists the website server in Massachusetts, USA, and its backup location in Boston, USA. The hosting service may process technical information, including IP addresses, request times and error logs, to deliver and secure the website. WordPress uses cookies for signed-in sessions. The quotation form uses security tokens, short-lived submission checks and hashed identifiers to limit repeated requests. Email providers process messages to deliver quote copies.
External services
The calculator uses a local planning-distance table; it does not send your selections to Google while you adjust them. If you click the Google Maps route link, your selected town and area names are included in the external link. WhatsApp, email and telephone links open external services or your chosen applications. Those services handle information under their own privacy notices and terms.
Keeping and reviewing information
Requests are kept in the private quotations inbox for follow-up and operational review. Automatic deletion of quotation records is not currently enabled. Copies may also be retained in company email, the email account you provide and hosting backups. Contact us to ask about retention or request deletion of a particular enquiry; deleting a website record does not automatically remove email copies or backups.
Questions and requests
Contact info@sakomas.org to ask about information you have provided or request a correction or deletion. We may need to verify your identity before disclosing or changing information. Do not send your password. The client portal is available to assigned customer accounts. Public shipment lookup is still being configured.
Client accounts and company records
The portal stores account and company information, billing contacts, TPIN where provided, booking requests, quotations, shipment updates, invoices and uploaded operational documents. Records assigned to a company are visible to its authorised members and Sakomas operations staff. Company administrators can invite colleagues and accept or decline formal quotations. Quote decisions record the account, time, quotation revision, amount and currency. Contact Sakomas promptly when a colleague should lose access.
Private documents are delivered through authenticated, permission-checked downloads. They are stored in the website database rather than the public media library. Shipment notifications can be turned off in your portal preferences. Invitation and account-security emails are separate from these preferences. Automated WhatsApp notifications are not connected; clicking our WhatsApp button opens an external conversation. Operational documents, financial records and decision histories remain available for business administration; contact us about retention and deletion requests.
